Meeting Attendance Policy
Attendance

Regular attendance at planning meetings is essential for trip organization. Members should notify the trip coordinator at least 24 hours before missing a scheduled meeting. Those who miss more than two consecutive planning sessions may be excluded from certain planning responsibilities to ensure timely decision-making.

Trip Planning Responsibilities
Trip Logistics

All members are expected to contribute to trip planning. Tasks will be assigned during meetings including route planning, permit acquisition, meal planning, and equipment coordination. Task assignments must be completed by agreed deadlines. Changes to the itinerary require approval from the majority of active members.

Safety Guidelines
Safety

Safety is our highest priority. All participants must complete basic first aid awareness before the trip. Emergency contact information must be provided by each member. Daily check-ins are mandatory during the trip. A detailed trip plan with expected locations will be filed with a designated contact person. Weather conditions will be monitored daily, and itinerary adjustments made accordingly.

Equipment Requirements
Equipment

Each member is responsible for their personal camping gear (sleeping bag, backpack, appropriate clothing, etc.). Group equipment (tents, cooking gear, first aid supplies) will be assigned during planning meetings. All equipment must be inspected one week before departure. Members are financially responsible for any damage to borrowed equipment beyond normal wear and tear.

Environmental Guidelines
Environmental

We follow Leave No Trace principles at all times. All participants must attend a pre-trip environmental briefing. Pack out all trash. Use designated campsites and trails only. Minimize campfire impact by using established fire rings only when permitted. Wildlife should never be approached or fed. All applicable park regulations must be strictly followed.
